Studio Gail Alexander is committed to protecting your privacy. This policy explains what personal information we collect, why we collect it, and how we look after it. It applies to our website, our client services, and our marketing communications.

Who we are

Studio Gail Alexander is the trading name of Interiors by Gail Alexander Ltd, a company registered in Scotland (company number SC746105, with its registered office in Glasgow, Scotland. The information we collect

We collect personal information in the following ways:

–    Enquiries and contact forms: your name, email address, phone number, and anything you tell us about your project or property.

–    Newsletter sign-up: your name and email address, so we can send you the emails you asked for.

–    Client projects: if you become a client, we collect the information needed to deliver your project, which may include your home address, property details, budget, preferences, photographs of your property, and payment and invoicing records.

–    Website usage: information collected through cookies and similar technologies, such as pages visited, device type, and approximate location. See our Cookie Policy for details.

–    Social media: if you interact with us on Instagram or other platforms, we may see your public profile information and messages you send us.

Why we use it, and our legal grounds

UK data protection law requires us to have a lawful basis for using your information. Ours are:

–    Performance of a contract: to deliver design services you have engaged us for, including scheduling, procurement, invoicing, and correspondence about your project.

–    Consent: to send you our newsletter and marketing emails, and to set non-essential cookies. You can withdraw consent at any time, and every marketing email includes an unsubscribe link.

–    Legitimate interests: to respond to enquiries, understand how our website is used, promote our work (for example, photography of completed projects, always with your prior agreement), and run and protect our business.

–    Legal obligation: to keep accounting, tax, and company records we are required to hold by law.

Who we share it with

We never sell your personal information. We share it only with:

–    Service providers who help us run the business: Squarespace (website hosting), Mailchimp (email newsletters), Google (analytics), Meta (advertising measurement), and our payment and accounting providers.

–    Project delivery: where needed to deliver your project, we share relevant details with suppliers, makers, workrooms, and contractors (for example, your delivery address or site access arrangements).

–    Professional advisers: our accountants, insurers, and legal advisers where necessary.

–    Authorities: where we are required to by law.

International transfers

Some of our service providers (including Squarespace, Google, and Meta) process data in the United States. Where personal information leaves the UK, we rely on safeguards recognised under UK law, such as the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Agreement, to make sure it remains protected.

How long we keep it

–    Enquiries that do not become projects: up to 2 years, so we can pick up the conversation if you come back to us.

–    Newsletter data: until you unsubscribe, plus a suppression record so we do not email you again.

–    Client project records: for the duration of your project and up to 6 years afterwards, to meet tax and legal obligations and in case any question arises about the work.

–    Analytics data: retained according to the settings of the relevant tool (currently up to 14 months in Google Analytics).

Your rights

You have the right to ask us for access to the personal information we hold about you, to have it corrected or deleted, to restrict or object to how we use it, to receive it in a portable format, and to withdraw any consent you have given. To exercise any of these rights, email us at hello@bygailalexander.com. We will respond within one month.

If you are unhappy with how we have handled your information, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to resolve things directly first.

Changes to this policy

We may update this policy from time to time. The date at the top tells you when it was last revised, and significant changes will be flagged on this page.
